MOGUATE 2011 "Schedule"

2011 marks our 5th Annual MOGUATE Weekend Retreat!

We hope that the weekend will be full of fun times, meeting new friends and making some great memories with your family!

Here is the schedule for the weekend. Please enjoy lots of “down time” at either of the pools at the resort. The main pool with the waterslide, zero-entry pool and the hot tub is the Arrowhead Pool located at the bottom of the hill. There is also a smaller pool, called the Tradewinds Pool located across the street from Burger King. The group “hang-out” is at the Arrowhead Pool.

Breakfast and lunch are on your own each day. There is a Burger King and a Sbarro on site, and the Black Bear Lodge Restaurant, as well as hot dogs and sandwiches at the Jetty Bar poolside. There are also many local restaurants within a few miles of the resort. The rooms have small fridges in them, if you want to bring food for the weekend.

CHECK-IN: When you drive into the resort - just tell the guard that you are checking in as a guest, then go to the main lobby. Be sure to ask for your MOGUATE bag when you check in. Your shirts and other goodies will be in there - so don’t forget! :)

THURSDAY: 7 pm: Meet & Greet in Room *1603 in Building E (across from where you check in). Bring your own snacks & drinks if you want - this is a casual reception for those who have already arrived. There is a kitchen area in this room, so feel free to use the refrigerator.
*We are on a different floor this year - so please note the change in our room*

FRIDAY: Breakfast Buffet is available at the Black Bear Lodge for those interested. They should have tables available in the Stream Room for MOGUATE attendees from 8:00-10:00 am on Friday and Saturday mornings - come at your leisure.

**Tables cannot be guaranteed during the busiest times of the morning - so be prepared to wait, but mention you are with MOGUATE and you may get a table sooner. Cost for the buffet is $12.95/adults and 1/2 price for children ages 5-12. Kids under 4 are free. Tax & gratuity are extra.

Spend the day poolside, or exploring the resort. See the concierge for Resort activities.

FRIDAY DINNER: 6 pm: Mexican Buffet catered by Tan-tar-a

This is a NEW method of collecting Registrations (hopefully an easier one!) PLEASE let me know if you have any problems with it.

You WILL need to pay your Registration Fee at the end of the Registration Form, so be prepared for that. It links to PayPal, but it says you can still pay via PayPal as a guest if you don't have an account - using your Debit or Credit Card.

ALL REGISTRATIONS & PAYMENTS ARE DUE BY JULY 1ST!!
I also need PHOTOS of every family for our Directory by July 1st. Just email those photos to me if you didn't attach one to your Registration form.
Room reservations must be made by JULY 2nd by calling 1-800-tan-tara and telling them you are with MOGUATE.
You can also get our discounted rate for 2 days prior and 2 days after our retreat, if you want to come early or stay later or both! If you are considering going, call now! They are only guaranteeing to hold 40 rooms for us. They do not charge your credit card until you check out and you have up until 72 hours prior to arrival to cancel without penalty.

EXPLANATION OF THE REGISTRATION FEES:

-Each family will pay a $30 Fee. This covers the special souvenirs for each family (sorry - they are a SURPRISE!!), the cost of printing the Directory and any other fee that our group incurs (AV rental cost, etc), as well as prizes for our raffle. I just realized that Pay Pal is charging us a fee for each payment made. ugh. So - that will also be included in this Family Fee.

-Each adult (ages 13+) will pay a $30 Fee. This covers DINNERS & soft drinks on Friday & Saturday night & a t-shirt.

-Each child (3-12) will pay a $20 fee. This covers DINNERS & soft drinks on Friday & Saturday night & a t-shirt.

-Each child under 3 pays $10. This covers DINNERS & soft drinks on Friday & Saturday night & a t-shirt.

Because we have to give the hotel figures based on the number of people in attendance, I cannot prorate any of the meals in case someone doesn't want to or can't eat the food that will be provided. Part of the cost of the food goes towards room rentals, so it would be hard to break that down or refund anyone's money. *see below if you don't want to order t-shirts

There is NO profit taken from the Registration Fees by me or any of the people who help plan this event. If there is an overage after everything has been paid, it will be donated to organizations that support Guatemala and Adoptions. Last year, we collected approximately $100 extra and that was donated to Vanessa Robichaux's December Mission Trip to Guatemala: Heart 4 Children
I keep a VERY detailed budget and anyone is welcome to see it at any time. I will publish the final figures after MOGUATE for everyone to review. (you can see last year's figures in a past post if you scroll down) I was pretty proud of myself for how close I was actually able to estimate things last year! It will always be my goal to plan this trip as inexpensively as possible for our families. You can ask our Group Coordinator at Tan-tar-a, I fight for every last penny and every discount I can get! :)

*T-SHIRTS: The t-shirt design has not been decided yet. It WILL involve our logo, but the actual color of the shirts has not been determined. I realize that some of you have t-shirts from last year and might not want to order shirts again. If that is the case, please put 000 in for the size of shirt for that person on the Registration Form. Because this may adjust our minimum order and may cause each t-shirt to be more expensive, I do not yet know the difference in registration price for those people who WANT shirts and those who do not. If you choose to NOT get a shirt, I will give you the difference in price in credit to the Guate Mall, where you can purchase handmade items from Guatemala, OR I will refund your money equal to the cost of your shirt. Again - I will not have this figure until at least July, when the t-shirt order is placed. Refunds will be given at MOGUATE.

SIZES: We can also order TODDLER SIZES: 2T, 3T, 4T for our little tykes! Just note that on your registration form.

By the way - I tried to edit the form to include more information about T-shirt sizes, but it wouldn't let me.

Hey everyone!

I am working on the details for MOGUATE 2011 and I wanted to let everyone know that the Registration Fee for 2011 will be the same as in 2010! With gas prices - and it seems everything else! - rising, I wanted to make sure our costs stayed the same!!

MOGUATE Registration 2011:

$30/Family
$30/Adult (ages 13+)
$20/Child (ages 3-12)
$10/Child under 3

I will get the Registration Form ready to be sent out by the end of May/early June. Sorry for the delay - I've had a busy Spring!

We were sorting through the MOUNDS of "old" adoption paperwork tonight and I wanted to encourage those of you who have not yet filed for your child(ren)'s original adoption documents, you SHOULD!

Remember that SCARY huge envelope that you had to KEEP SEALED NO MATTER WHAT HAPPENS? You know, the one that you handed over when you landed in the US and - if you're like me - you tried to casually lean over the desk to see what was in it?

Yeah - that's the one!

Just file for the G-884 and you'll get it back!

I wanted to do a little "wrap-up" of the event this year and ask all of you who attended MOGUATE this year to take a few moments to complete a survey to help us plan for next year.

I also wanted to give you a run down of the Registration Fees and how they were spent. I crunched the numbers several times and I was actually amazed how well our final numbers matched the estimated figures! YAY! I also believe in transparency when money is collected at events such as these, so that is why I am sharing this with all of you.

So - here it goes:

Registration Fees Collected: $3898.00

Costs:

Mexicali Blues: $748.50

Drinks: $105.48

Sbarro Pizza & extra drinks for Saturday night: $577.61

A/V Charge (for Microphone, Projector): $100

TOTAL = $3800.96

For a difference of +$97.04

which will be rounded up to $100 and will be donated to Vanessa's December Mission Trip!!!

The total amount of money raised at MOGUATE 2010 for Project Santa (not including all of the donated items that will be taken on the trip) was $1065!! $965 of that came from sales at the GuateMall!! Good job shoppers!!

CLARIFICATION OF THE FEES:
I have had quite a few of you contact me about the fees for MOGUATE, so I wanted to clarify the amounts and the reasons for the figures.

I have been planning this event for 4 years and over the past 4 years, the money situation has been tricky and at times frustrating. Each year, it seems that I have come up short at the end of the weekend, for whatever reason - whether it be because a family didn't come yet still ordered t-shirts, or because someone forgot to pay me for their dinner, etc. That was the reasoning behind the Registration Fee. Honestly, I've been surprised by the number of people who said they didn't know about it because I have posted it everywhere I possibly could: on the website, Facebook, on our survey, and on the Yahoo Group.

Here is the breakdown of fees. PLEASE do not ask me to split them up based on each family's preference. I SERIOUSLY considered this, but it would be a nightmare to try to keep track of. Plus, I need to pre-order items and give the restaurants our numbers at the beginning of July. Yes, I agree that this needs to stay a simple, relaxing weekend for everyone - including me! :) I don't like hunting down people to get their money or trying to do math at the last minute for our pizza order. Also - I asked for everyone's opinions on the survey and I made decisions based on the results of that survey. The items included were the items that received 50%+ of the "votes".

I have tried to estimate to the best of my ability the fees, but I do not yet have exact figures until I have all registration fees paid and have the exact numbers. That is why there is some "cushion" in the Family Fee. At the end of the weekend, if there is an overage, it will be donated to Relief Efforts in Guatemala. My experience in planning events has shown me that there MUST be some cushion in figures because something usually comes up that eats that "overage" anyway!

Please know that I have been thinking about this EVERY YEAR since our first MOGUATE, so this was not done in haste. I hope that you will be able to look over these figures and see that they are all reasonable. Shannon Gifford and I worked for a long time to get the Mexican Restaurant to come down on their prices and I am working with a company to get the cheapest bags, tshirts and lanyards. He is actually given them to me at the lowest rate possible for this size of an order because I am ordering those three items at the same time. The dinners will include drinks, tips and tax and those amounts are added in. Can you go off site and eat cheaper? Probably, but I have worked as hard as I could to get Tan-tar-a to allow us to stay on site without charging us room rental fees, etc. Just so you know, I have priced it out and if they charged us the room rental fees or made us use their catering, you'd be looking at $25-30/adult for just ONE MEAL. I think part of being a relaxing weekend is not needing to go off site for dinner - but being able to hang out with other families without the stress of worrying about dinner plans. For a Family of 4, dinner on Friday night will be $32 and dinner on Saturday night will be $28. I personally think that's reasonable. Yes, their pizza is more expensive than other places, but they are giving us the meeting space for free if we agree to use the Sbarro that is on-site.

I hope this helps explain how and why I came up with these figures. I am learning that I can't please everyone, but I'm doing the best I can.

She said she has sent her kids there (they aren't adopted or from Guatemalan, by the way) and they chose to attend this camp instead of going to Boy Scout camp!

Let me know if you're considering sending your child(ren). The kids would probably enjoy being there together PLUS there's a referral discount and I figured we could all refer each other and get a little discount!

MOGUATE 2010

Hi everyone! (LOTS of info to read - sorry! - but please read it all! :) )

I spoke with our contact person at Tan-tar-a yesterday and it got me sooo excited for MOGUATE 2010!!

The reservation process is NOW OPEN! You can call and reserve your room TODAY by calling 1-800-tan-tara and telling them you are with the MOGUATE group.

The nightly rate is $134.21 which includes the resort fee and all taxes. MOGUATE will be held from THURSDAY, AUGUST 5 - SUNDAY, AUGUST 8. (3 nights)

Your credit card will NOT be charged until you check in, so if you are considering going to MOGUATE, go ahead and reserve your room now. There is NO penalty unless you cancel without informing them at least 72 hours in advance. There has been a TON of interest and we have a limited number of rooms, and I'd hate for anyone to miss out, so please call asap!

We are also adding a Registration Fee this year for attendees. At this point, that fee has not been determined because the activities have not been booked. That fee will cover:

*t-shirts

*group meals (Friday and Saturday night dinners)

*activities

My hope is that we can keep this cost to $30-40 per person. Please look at it this way: you have already been paying for these things, I am just lumping it all together so we can plan more efficiently. I don't want people thinking this is an ADDITIONAL cost, because it really isn't. This is NOT a money making event. If, by chance, we budget incorrectly and there is any overage paid, we will donate that money to our Missions.

Here are the planning committees:

#1: Food committee: Friday night at Mexicali Blues and then Saturday night on the deck with Sbarro pizza again. Shannon Gifford will head this committee.

#2: Registration/Directory: gather families' info & compile directory. Susan Carter will head up this committee.

#3: Missions committee: Determine the organizations we want to help support, communicate with those organizations, solicit donations, organize the raffle, collect money for raffle tickets, do the drawing at MOGUATE, send funds to organizations. I will help with this committee. Last year, we donated $700 to the Global Orphan Team and helped collect school supplies for Vanessa Robichaux's organization called Project Santa. Each year, we will decide which groups to help support - they may change, they may not. This committee will help decide that.

#4: Hospitality Committee - I'd like to have "party favors" for each family, if cost allows. Debbie King has volunteered to help - but not be the Head of - this committee, and Bobi Spilker has also mentioned helping.

MARK YOUR CALENDARS!!!

MOGUATE 2010 will be August 5-8, 2010

We have not yet started the reservation process - but I will post when it opens. It probably won't be until after the first of the year.

Also - one change for 2010 (there will be a few changes - but this one is the biggest change) is that there will be a registration fee.

The fee will cover T-shirts for each person attending, meals and activities.As we get bigger each year, it gets more and more difficult to place orders for t-shirts, make meal reservations, etc. This will make things MUCH easier! No profit will be made from this registration fee. If there is an overage at all, that money will be donated to a Guatemalan charity. Our hope is that in planning it in advance, the cost estimate per person will be very close to the actual amount charged.

Also - a few of you have already volunteered to be on committees - YAY! There will be a meeting in the Spring for all Heads of Committees at my house (near Springfield, MO). That date will be announced later.

MOGUATE 2009 is barely over and I'm ALREADY excited for 2010!!!I hope you'll be there!!

Hey everyone!
Susan Carter had a GREAT suggestion for all of us to upload our photos from MOGUATE 2009 onto a photo sharing site so that we can purchase photos taken by other families and have them sent to us.
So - I have sent an email to all of the MOGUATE Families with the instructions for posting to the site - so check your email. :)

#4: New committee: Hospitality Committee - I'd like to have "party favors" for each family. Debbie King has volunteered to help - but not be the Head of - this committee.

Whew!! What a weekend!!

It was so fun to get together with all of the BEAUTIFUL, FUN families this past weekend!

A big thanks to all of you for taking the time to attend this event with your family. I know that the friendships we have formed and the connections that we are making are so important for our kids, especially as they get older.

I hope that all of you will plan to attend this event each year - I know it's just going to get bigger and better every year!!

Just a little update for everyone now that the initial July 1st deadline has passed...

First: If you know of anyone who is still interested in attending - although the deadline has passed for Reservations, Tan-tar-a has agreed to hold our reservations open until JULY 15th - BUT, anyone who calls after tonight will not be guaranteed to have a room in the same building as the rest of us. The prices for the other rooms vary - so I'm not sure how much they would be.

I have had a few calls from people who saw our listing in Adoptive Families Magazine (although I requested they run it FOREVER AGO, I was happy to see that it was in the magazine this month!) so I quickly called Tan-tar-a to ask for the extension. JULY 15th is the ABSOLUTE LAST DAY to reserve a room with our group.

I CANNOT add anymore t-shirts to our order as of this past Monday.

Second: I KNOW I said I wouldn't do it, but I took T-shirt orders from a few of you last minute and I don't have money from everyone yet. PLEASE PLEASE PLEASE mail me a check TODAY if you haven't paid me already. (Email me if you don't have my email address)

FOR THOSE OF YOU STAYING OFF-SITE: I know that there are a few of you who have made reservations off-site at other locations. I was told that if you do not have a reservation for a room or cabin at Tan-tar-a you will NOT be allowed to enter the pool area. They do not issue day passes and they do keep track of who goes in or out... so I wanted to warn you. You will be able to attend our Meet-n-Greets and the Saturday night dinner, as well as Breakfast Friday & Saturday though!

One last thing....... if you are from a state other than Missouri and know of an EXISTING organized group of families with kids from Guatemala, will you please email me and give me the name - and contact info if you have it? If you know FOR SURE that your state doesn't have one, please email me as well. THANKS!!

I called today and the t-shirt company will make us a deal IF we place our order by THURSDAY, JUNE 25. The shirts will be a pale yellow color. They are going to look really good! I am so excited!!! (I didn't get a NEON yellow - no worries!!)

ADULT & YOUTH & TODDLER sizes are $6.75 each (they aren't upcharging for the smaller sizes - YAY!)

2XL, 3XL, & 4XL are $8.30
(Those prices include tax)

I CANNOT STRESS THIS ENOUGH:

If you are planning to attend MOGUATE, you need to make your reservations TODAY.

There are many of you who have expressed interest, but your names are not on the list that Tan-tar-a gave me on June 16th. We have 32 families who have already made their reservations, which means there are ONLY 18 rooms left for us in our block. After July 1st - they will release those rooms for sale to the general public and the rates could go up.

***IF YOU HAVE NOT CALLED TAN-TAR-A TO MAKE YOUR RESERVATION BY JULY 1ST, THE PRICING AND AVAILABILITY CANNOT BE GUARANTEED***

I just checked online today, and their website shows NO AVAILABILITY on the resort for that weekend, so basically if you don't book with our group, you might not be able to get a room on the resort. Call: 1-800-tan-tar-a and mention Missouri-Guatemala Families.

Some of you know people who have been talking about possibly coming - can you please encourage them to book asap?

TSHIRT #5 !!

The actual color of the t-shirts has not been determined - I will be checking with the t-shirt company to figure out which color will look best. We may either choose the blue or green in this logo for the shirt and then change that color to white.... that's a possibility. I will trust their expertise! I know that many of you have said NO WHITE - and I agree! My kids are too rough on white t-shirts! ha!

OK - now for ordering...

I cannot give you an exact cost of the shirts until we have all of the orders and figure the quantity discount. I do know that certain sizes (infants & toddlers and the XXL+ cost more per shirt, based on another estimate I am currently working on for Guatoberfest). I believe that the base price (meaning a shirt with no upcharge for the sizing) will be no more than $10 per shirt - and possibly closer to $7-8 each.

ALL SHIRTS MUST BE PAID FOR AT THE TIME WE SUBMIT THE ORDER TO THE T-SHIRT COMPANY (mid-June/early July). Sorry, no exceptions. If you can't go to MOGUATE, we can mail your shirts to you.

The Global Orphan Team's Mission Team just returned from their recent trip to Guatemala. During that time, they were able to work on the electrical issues at the orphanage!

MOGUATE is now listed under the Blog Directory for Serious Life Magazine!!

It's really a great magazine and often has stories about adoptions - specifically Guatemalan adoption because the author's daughter, Abby, was adopted from Guatemala. Abby has been battling leukemia and I'm sure that many of you have read about her and have been praying for her.

MOGUATE GIVING BACK PROJECT

Hola everyone!

There has been some talk about MOGUATE Giving Back and Julie S. and I have been working on finding a great cause to support and we have found it!

There is a Special Needs Orphanage in Chimaltenango, Guatemala that will become our MOGUATE GIVING BACK Project this year.

There is a DIRE need for electrical work at this orphanage. It is one of the most pressing needs right now because of the safety issues. The director said there are live wires throughout the building - including in the shower where they bathe the children.

The Global Orphan Team (www.globalorphanteam.com) will be working at this orphanage during their Mission Trip in March and they have someone who could do the work if we could raise some money for all the supplies. They said it will cost approx. $2000 to get the electrical work up to code and SAFE.

Here are some more pictures of the problems with their electricity. How scary it must be for the director - many of these kids don't understand how badly they can be hurt.

We know that finances are tight for many of us right now, so please only give what you can and don't feel guilty if you can't donate right now.

The deadline for submitting donations is MARCH 10th so we can get all of the money collected before the Missions Team leaves for Guatemala!

MOGUATE 2009 RESERVATIONS ARE OPEN!!

MOGUATE 2009: Thursday, August 6th - Sunday, August 9th

Call Tan-Tar-A at 1-800-tan-tara today to make your reservations!!

We have reserved ONLY 50 rooms... meaning once they are booked, the resort is full and we probably won't be able to accommodate anyone else.

From the interest we have had so far, I truly believe that we may hit capacity this year - so CALL TODAY! I have already had nearly 20 families who have said they are coming!

If you have to cancel - you have up until August 1st with no penalty - so if you are considering attending, go ahead and book your room.

When you make your reservation, tell them you are with Missouri Guatemala Adoptive Families Group (not sure they changed it to MOGUATE yet - but you could try). The rate per night is $128.78, which incl. taxes and resort fee.

After you have made the reservation, email Becca (our Reservation Coordinator - yay! Thanks Becca!) at moguatereservations@gmail.com, and she will email you a copy of the reservation form that needs filled out so we know how many are coming and so Susan can start working on the directory.

I am working on a little glitch with the rooms for MOGUATE and I NEED
YOUR HELP! MOGUATE started in 2007 and we had 14 families attend
In 2008, we had 24 families!! After making the announcement about
Guatoberfest, I have had a TON of inquiries about MOGUATE too.
Because of this, I called Tan-tar-a to see if they can add 20 more
rooms and I am waiting to hear back from them.

If you are planning to attend MOGUATE August 6-9, PLEASE PLEASE

Hola MOGUATE families!!

Is anyone else having a hard time believing that it is 2009 already?? Whew! Where did the last 5 years go??

I wanted to tell you about a COOL new thing I added to our blog! It is a Yahoo Groups link.

Now when you send people to our blog, they can easily click on the link to also join our Yahoo Email Group. Cool, eh?

I have changed the settings so that, from now on, EVERYONE must be approved before joining the Yahoo Group. I am hoping this will deter spammers or plain ol' crazy people from trying to access the group and our information. If I have trouble with Spammers, or Phishers or whatever fancy name they are called this week, I will take the button off of our blog.

As always, DO NOT include personal information or identify children in any photos.
The safety of our families is of utmost importance.

HOLA AMIGOS!

I got the contract in the mail a few days ago from Tan-tar-a and here is the info:

Thursday, August 6 - Sunday, August 8 (yes, we are adding Thursday night too) I am hoping that moving it back a weekend will mean that no one is in school yet.

Cost: $129.08 TOTAL per night (includes the $109/night, plus resort fee + taxes)

I really would like to form a committee to help with MOGUATE 2009 because I think that it is getting to be too much for one person to handle.

So - please look over this list of committees, and seriously consider joining one (or more!) then email me back with what you would like to do!

1 – Room Reservation Committee – contact resort to arrange Room Reservations, maintain an updated list of families who are planning to attend

2 – Event Planning Committee – this committee will determine what events will take place during the weekend, plan those activities and make all arrangements (perhaps incorporate cultural education/activities into the weekend)

3 – T-Shirt Committee – develop t-shirt design, take orders, collect money/pay for shirts, distribute shirts

4 – Directory Committee – get all info and photos from family to put together directory, distribute directory (email and print)

5 – Communication Committee – maintain Yahoo group and blog, as well as facilitate communication throughout the year, “recruit” new attendees, publicize the event in various media forms (post on online calendars, in Adoptive Families Magazine - or other magazines, contact media, etc)

6 - Check-in Committee - I would like to have a check-in desk available in the lobby on Thursday (and maybe Friday) so that when people check in, they will get their T-shirt and a schedule of the weekend events. We can do this in shifts.

WOO HOO...we had a BLAST at MO GUATE...and the OUTLET MALL today HA HA! Thanks so much CINDY for getting this together and letting us OKIE's join in on the FUN. We will be there again next year...and I will be dragging more of my OKIE CLAN with me.
